Google Workspace Profile Photo

A Google Workspace profile photo appears in Gmail, Chat, Meet, Calendar and your company directory. Google's admin help says photos must be JPEG or PNG, up to 5 MB and 20 million pixels, and don't need to be square. Here is what that means and who controls your photo.

One photo • 2 variations per generation • Packs from $9

Google Workspace Profile Photo Requirements

  • Formats: JPEG or PNG only.
  • File size: up to 5 MB.
  • Resolution: up to 20 million pixels.
  • Shape: photos don't need to be square.

These rules are from Google Workspace Admin Help, checked when this page was last updated.

Who Sees It and Who Can Change It

Your profile photo is visible to people in your organisation and to external contacts you chat with in Google Chat. Colleagues see it next to your emails, meeting invites and directory entry.

Admins decide whether users can change their own photo. If the option is greyed out, your admin may manage photos centrally. If the Directory is turned off, your photo may be hidden from colleagues.

Choosing a Work Profile Photo

Because the photo is shown as a small circle across Google's apps, centre your face and leave a little space above your head. A plain background reads well in Gmail's inbox and in Meet tiles.

Many companies use the same headshot for Google Workspace, Slack and the email signature, so a recent, clear professional photo pays off across all of them.

Export your headshot as JPEG or PNG under 5 MB before uploading.

Admins Setting Photos for a Team

In companies where admins manage profile photos, a consistent set looks best: the same background, a similar crop and a recent photo of each person. Ask staff to send a clear, front-facing photo and agree on one look before uploading them in the Admin console.

Remember that people outside the organisation can see photos through Google Chat, so choose professional headshots rather than casual snapshots.

Recommended Looks in the Generator

After you upload your photo, pick these options in the generator. Each generation gives you 2 variations, and regenerating the same look is free.
